Job Description:

Your Mission

We are looking for a Part-Time Office manager to organize and coordinate administrative duties and office procedures of our small Redmond office. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Office manager's responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a front office manager, receptionist, executive assistant, or office administrator would be an advantage. A successful office manager should also have experience with a variety of office software (Microsoft Office including email tools, spreadsheets) and be able to accurately handle administrative duties.

Ultimately, the office manager should ensure the smooth running of the office and help improve company procedures and daily operation.

  • Maintenance requests
  • Mail and shipping services
  • Equipment
  • Procurement and on-time invoice payment
  • Errands
  • Shopping/ordering for food and supplies as needed
  • Schedule meetings and appointments, assist with expense reports or travel arrangements as needed
  • Organize the office layout and keep inventory stocked
  • Maintain the office condition and arrange necessary repairs
  • Partner with HR, Safety teams to update and maintain office policies as necessary
  • Organize office operations and procedures
  • Coordinate with Central IT department on all office equipment
  • Manage relationships with external vendors, including price negotiations with office vendors and service providers
  • Work closely with all operations staff at our other locations
  • Work within office G&A budget, ensure accurate and timely reporting
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Address employees' queries regarding office management issues (e.g. Hardware, Company policies, and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Planning and implementing offsite meetings & events (with support as needed)
  • Coordinate and book travel for studio as needed (candidates, employees, visitors) 
  • Light cleaning and tidying of dishes, coffee maker maintenance, etc.
  • Provide additional studio support as needed

Minimum Requirements

Experience

  • Proven experience as an office manager or administrative assistant
  • Hands on experience with office machines (e.g. printers)

Knowledge & Skills

  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Familiarity with Purchasing and Expense report systems like Oracle iProcurement
  • High School degree: additional qualification as an administrative assistant, project management will be a plus

In the U.S., the standard base pay range for this role is $21.63 - $40.02 Hourly. These values reflect the expected base pay range of new hires across all U.S. locations. Ultimately, your specific range and offer will be based on several factors, including relevant experience, performance, and work location. Your Talent Professional can share this role’s range details for your local geography during the hiring process. In addition to a competitive base pay, employees in this role may be eligible for incentive compensation. Incentive compensation is not guaranteed. While we strive to provide competitive offers to successful candidates, new hire compensation is negotiable.
