Role: Group HR Operations Coordinator

Location: Horsham, UK, Hybrid working (2-days per week in-office)
 
Job Summary: 
 
As Group HR Operations Coordinator, you will be part of the Group HR Operations function based in UK and Bulgaria.  The Group HR Operations function will be essential in managing and streamlining the day-to-day functions, drive efficient operations and processes of the Group HR department.   
 
You will report to the Group HR Operations Lead and will be responsible for providing global HR support in areas of the employee life cycle, including HR Systems (Workday, HR Specialist Systems).  You will be the first point of contact for all employee related queries and HR Business Partnering Teams in relation to Workday and HR Specialist systems.   
 
Working with the Group HR Operations Lead, you will be collaborating, with the HR Technology team, ensuring that all central business processes are consolidated, working efficiently and are standardised where possible, as well as seeking ways of improvements and enhancements.  
 
Key Responsibilities: 
 
  • First point of contact for all for all employee related queries and HR Business Partnering Teams 
  • Responsible for triaging / managing of our internal Group HR Operations ticketing system 
  • Assigning to appropriate HR Operations / Technology / Payroll Member based on the complexity of the request 
  • Responsible for all level 1 requests  
  • Responsible in ensuring all business processes in Workday are completed by the relevant actor and are not pending and impacting the Payroll Team and employee life cycle transactions 
  • Collaborating with the HR Technology Team, ensure that employees and the wider HR Studio Teams have the relevant up to date guides/ job aids, process flows to be able to perform their activities.   
  • Responsible for regular auditing of data to ensure accuracy 
  • Responsible for the administrative support of preparation of any relevant letters, references, probation reviews, working towards automating these within Workday 
  • Responsible for the maintenance and organisation of standardised employee files / documents within Workday 
  • Ensuring that all employee data is compliant and in line with GDPR 
  • All employee data held in all HR Systems (Workday, Specialist Systems) are in line with our data retention policies 
  • Responsible the immigration support for the UK 
  • Responsible for employees with visa renewals and visa tracking is held centrally in Workday 
  • Ensuring any changes to immigration records are effectively updated within our UK SMS portal 
  • Works closely with the HR Technology team and Payroll team, to ensure that all cyclical Workday activities are performed in conjunction with the HR Technology team.   
  • Assisting the HR Technology team with special projects, assignments and tasks as needed 
  • Assist with testing & implementation of system enhancements and new functionality
