About this Role

Fandom is growing! Our Workplace Environments Specialist opportunity is based in Poznan, and reports to our Director of Environments.

As the Workplace Environments Specialist at Fandom, you will be the heart of our newly renovated Poznan office creating a welcoming, professional, and supportive atmosphere, both in-person and virtually for Fandom employees and visitors alike.

This role requires you to be in the office 5 days a week and reports to the Director of Environments based out of our San Francisco, California office. 

You Will...

Office Responsibilities

  • Manage day-to-day operations of our newly renovated Poznan office space (e.g., office and kitchen supply ordering, in/outgoing mail and package management; kitchen and common space upkeep/inventory) – no task is too big or small.
  • Serve as the first point of contact and go-to resource for Fandom employees, candidates, and any stakeholders entering the office.
  • Occasionally providing remote support for our European and US based offices.
  • Own all workplace-related vendor relationships (e.g. janitorial, office facility, food/beverage, preventative and ongoing maintenance) and contracts.
  • Partner with IT to ensure all office equipment is functioning properly and well maintained.  
  • Manage the employee parking program.
  • Partner with our Human Resource/Talent Acquisition Teams to support new hire onboarding/offboarding.
  • Support our hybrid work policy by assisting employees working remotely within the European region.
  • Manage and support office safety programs, including Covid-19 policy compliance and office attendance tracking.


  • Collaborate with members of the Environments Team to plan and execute employee engagement events both in-person and virtually. 
  • Provide administrative support for Fandom events and global activities (holiday/summer parties, team offsites, Pyrkon events, etc.), including but not limited to: conference room/office setup, reservations, meals, prizes, and coordination with IT and EA teams. These tasks may occasionally require evening and early morning support.
  • Order and maintain stock of Fandom merchandise for new employees and events.

Administrative Support

  • Ensure all billing for office management and events are invoiced and billed as required. 
  • Support our financial team with reporting as needed.
  • Partner with our US-based Executive Assistant Team to support travel, dinner reservations, meetings and events within Poland.

You Have...

  • Fluency in Polish and English - both written and verbal
  • A university degree and 2-3 years experience managing an office
  • Ability to work Monday-Friday 10:00am (CET) to 6:00pm (CET) to allow for collaboration across multiple time zones
  • A high level of attention to detail as well as strong interpersonal skills
  • A positive demeanor with a calm demeanor and possess a strong sense of urgency in resolving any issues that may arise
  • A strong desire for order/cleanliness
  • A problem-solving perspective, using analytical and quantitative skills
  • Excellent time management and prioritization skills
  • Experience handling confidential information in a professional manner
  • Proficiency in using Google Drive, Docs, Sheets, Forms, and are willing to learn additional systems as needed
  • Experience managing both large and small projects simultaneously
  • An interest in collaborating with others on a global, cross-functional level
